The common thread is a model answering questions about data it was never trained on — your data.

Knowing the use cases matters because it tells you when RAG is the right tool and when it is overkill. If users ask questions whose answers live in documents, databases, or wikis that change over time, RAG is almost always the correct first move. If the task is style transfer, classification, or pure reasoning with no external knowledge, retrieval adds latency and complexity for nothing. Pattern-matching your problem to a proven use case saves you weeks of architectural wandering.

In practice you will start by identifying the knowledge source behind each use case: a docs site for a support bot, a tickets table for triage, PDFs for legal review. Then you map the question types users actually ask, verify the answers genuinely exist in that source, and prototype with a small index before scaling. Expect to blend use cases too — a single internal assistant often combines HR policies, engineering docs, and product specs behind one retrieval layer with metadata filters separating them.
